This Privacy notice aims to provide you with information on how ‘Ionian Villas Ltd’ collects and handles your personal data.

What is Personal Data?

Personal data is information which identifies you or could be used to identify you. Such as your name, contact details, booking history and travel arrangements. At Ionian Villas we have taken measures to ensure we are compliant with ‘The General Data Protection Regulation 2016/679’, which is a regulation in EU law on data protection and privacy for all individuals within the European Union and the European Economic Area’.

When do we collect your personal data?

• When you make an enquiry via telephone or email
• When you make a booking
• When you make a payment for your holiday
• When you interact with us via social media
• When you respond to our holiday feedback questionnaire
• When you download the travel app we work with (Vamoos)
• Whilst you are on holiday and discuss your preferences with our agents or house managers

What personal data do we collect?

• The types of information we will need to collect will include your name, gender, name of other travellers in your group, ages, contact address, email address and telephone number.
• We may also ask if you have any dietary or special requirements, this is so we can tailor your holiday experience and meet all your needs.
• When proceeding with a booking you may wish to pay by credit or debit card therefore we require your card details.
• Some villa owners are required to provide the party leader’s passport number to satisfy the Greek Tourist Board requirements, we may ask you for this.

How do we use your personal data and who do we share it with?

We will initially need to use your personal data to provide you with a quotation and the availability of our properties. Once placing a booking and entering into a contract with us, we will need to access your personal data to manage your booking and to communicate with you. This will also include passing your information onto our island agents, car hire and transfer companies, owners/managers and key holders of the property you are renting. Your details may also be required by law to be passed onto security or credit checking companies and public/ government authorities such as customs and immigration. If we cannot pass this information to the relevant persons (as above) whether in the EEA or not, we may not be able to provide the booking.

If you wish to download our Vamoos app we will initially upload your personal information, which will include the names of travellers and your travel arrangements. This account is username and password protected, as with all online passwords this is managed carefully by us to protect the security of your data. Once you have connected to your account you will be able to access your personal data and booking information, you can also manage/upload photographs from your holiday. When making a card payment we will need to process your details via a secured site, ‘First data’, to which we are compliant with all their security and GDPR procedures.

We may wish to use your personal data for feedback on your holiday or marketing purposes, where we will contact you via email, the Vamoos app or post. If you do not wish to receive any of these please do notify us.

Throughout our site there are clearly defined outbound links taking you away from our website into a third-party site. Although we are very careful who we select as an outbound link and all are reputable companies or agencies such as tourist boards etc, we cannot state what information they may collect about you for their own transactional or statistical purposes. It is in your own interest to read the terms and conditions / privacy policy before viewing their content or making a purchase.
We may transfer or process some of your data outside of the UK and EEA, if so we will take adequate steps to ensure this is done safely and securely.

We do not and never will pass any of your personal details to a any other third parties without asking for your permission.

How long and where will we keep your personal data?

We will need to hold your data for the time that is relevant to us, including for the purposes of satisfying any legal, accounting, or reporting requirements.

Unless instructed by yourself we will keep your information for up to 6 years. We will store your personal data safely on our system. Information is primarily stored in our computerised reservation systems IT security measures have been implemented and are regularly updated to ensure we have taken the relevant steps to keep your data as safe as possible. Client files are stored securely and destroyed after a maximum of 6 years, card details and bank details are never stored in our files.

If your data is no longer required, we will ensure that it is disposed of / deleted responsibly.

Data Security?

As well as using secure sites and software we have taken the appropriate security measures to prevent your personal data from being altered or disclosed, accidently lost or used in an unauthorised way. We limit access to your personal data with employees and island agents who have been instructed to have a duty of confidentiality and care when handling your data. We have security measures in place if we were to experience a suspected data breach and will notify you when legally required to do so.

Correcting inaccurate personal data

We endeavour to keep your personal information up to date. Please let us know if the data we have for you is incorrect or needs updating. We can then update our records and any other parties who have received the inaccurate information.

How can you access your personal data?
